Private Events & Member Experience Coordinator

Located just north of Houston on the shores of Lake Conroe in Montgomery, Texas, April Sound Country Club is a beautiful private haven featuring 27 holes of championship golf. The team is actively seeking to bring on a Private Events & Member Experience Coordinator. The Private Events and Member Experience Coordinator is a hybrid role responsible for all member programming/events as well as assisting in the selling, planning, and coordinating of all aspects of private event and meeting functions held within the club. The Private Event focus will be on selling private functions for the Club, promoting the Club locally via bridal shows and other public events which heighten awareness within the community, and fostering relationships with Members, individuals, and corporations who book events so as to maintain a catalog of repeat business while prospecting for new events. The Member Experience focus is dedicated to curating and enhancing “ClubLife” by creating and hosting activities with the current Members and their guests to demonstrate Pride in Belonging. They champion the system/process to ensure new Members develop relationships, experience personalized service, cultivate Member recognition, join Clubs within the Club, and participate in a variety of programs and events that enrich their lives. The Coordinator also oversees internal and external communications at the Club.

Responsibilities:

  • Become proficient in the use of the CaterPro catering program
  • Selling private functions includes meeting with the clients to determine needs, meeting those needs, and exceeding their expectations through detailed communication with both client and support staff from prospecting to execution of the event
  • Ensure all services administered to Club Members and their guests are consistent with expected level of service
  • Develop and be accountable for New Member Welcome and Connect Steps, Member Intel, and Name Recognition – New Member Onboarding
  • Create and execute quarterly game plans which defines the sales and marketing plan to achieve departmental revenue goals, using Bell Notes as part of the process
  • Represent the Club in city and community activities and organizations to provide awareness of the Club and to develop sources for prospective private events
  • Develop and execute Club events. Attend the events to get to know the membership and learn what events they are most interested in attending
  • Grow attendance at the events leading to reduced Member attrition. Follow up with attendees to see how we can improve the member events
  • Implement a thorough and consistent strategy to best communicate and promote “ClubLife” through all channels, amplifying the Member story
  • You will receive guidance and support with opportunities for collaboration and invocation with fellow Clubs
  • Customize “freedom within the framework” marketing and programs to meet Club standards and promote private events
  • Share best practices and new ideas across markets to leverage relevance and trends
  • Strategize how to constantly improve Member Growth and the Member Experience
  • Assist in greeting members and clients the day of their events
  • Ensure all payments and contracts have been received for private events

Qualifications

:
- Prefer a minimum of two (2) years of experience in one or more of the following: marketing/communications, hospitality, sales, relationship management, food & beverage operations, customer service, membership associations, and/or fundraising
- Proven track record of supporting the marketing/prospecting programs to drive event revenues
- Creative, energetic outgoing personality with organizational skills and attention to detail
- Sales experience preferably in catering and private event functions
- Must have practical knowledge of food preparation and social customs of etiquette, especially in regard to private events
- Knowledgeable of all proper methods of food and beverage service, systems, controls, and costs
- Outstanding written and interpersonal communication skills required
- Strong technical literacy, including Microsoft Word and Excel
- Ability to foster relationships with Members, Employee Partners, and other community leaders
- Applicant must exhibit a professional appearance
- Applicant must possess a passion for providing high-quality Member service and commitment to exceeding expectations
- Experience in leading a team or project to a successful outcome is preferred
- Undergraduate degree preferred
